Clinic Cancellation Policy
We understand that life can sometimes throw unexpected challenges your way. However, to ensure the smooth running of our services and to accommodate other clients who may be in need of an appointment, we kindly request that you adhere to the following cancellation policy:
- 48-Hour Notice: Please provide us with at least 48 hours notice if you are unable to attend your scheduled appointment. This allows us to offer your slot to another client or prevents our therapists from making unnecessary trips to the clinic.
- Less Than 24-Hour Notice or No-Show: If you provide less than 24 hours notice of cancellation or if you miss your appointment without informing us, you will be invoiced for the missed appointment. In the event of a no-show, you will be charged 100% of the appointment fee. Exceptions may be considered in certain circumstances, but as a general rule, you will be charged for the appointment. Please note that missed appointments cannot be billed to insurance. To facilitate this policy, we require a credit card to be kept on file. We understand that unforeseen circumstances may arise, and we encourage you to contact us to discuss any exceptions, especially within the 24-hour window.
- Positive Engagement and Repeated Cancellations: At Vivi Therapy, we believe in fostering positive engagement with our clients. Therefore, we retain the right to contact any client who demonstrates a pattern of canceling, swapping, or not showing up to appointments. Depending on the circumstances, clients may be subject to a cancellation fee if appointments are canceled within 48 hours of the scheduled time instead of 24 hours. We handle these situations on a case-by-case basis, working together to find suitable solutions for all parties involved.
